Licensee

The Licensee screen is the home screen for Super-, Corporate-, and Licensee-level users. When such a user logs in they will be navigated to this screen, regardless of their role or level.

The Licensee screen consists of these tabs:

·         Licensee lists each licensee that you have been authorized to work with. You can search the list to view a smaller group of licensees.

·         Licensee Detail displays detailed information about the selected licensee. If you are authorized to do so, you can add or change licensee information on this tab.

·         Address displays the selected licensee’s billing and remittance addresses. If you are authorized to do so, you can add or change licensee information on this tab.

·         Pre-Embossed Cards allows authorized users to request pre-embossed cards for a licensee (or division within a licensee’s business).

·         Fulfillment allows users to specify which report formats are to be used for this Licensee.

Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

Licensee

The Licensee tab lists each licensee that you have been authorized to work with:

The Licensee tab contains an action list:

Each action item performs the following function:

Division – Displays on the Division List screen the division(s) for the selected licensee.

Licensee Options – Displays on the Licensee Option Values screen all options set by the selected licensee.

Volume Discount – Displays on the Volume Discount screen volume discounts set up for the selected licensee.

Licensee Rep – Displays on the Rep screen representatives associated with the selected licensee.

FleetNet AR – Navigates an authorized user to the FleetNet AR application. This option appears only if you are authorized to use FleetNet AR.

Licensee number as assigned by Fuelman Card Services.

Licensee Name

Name under which the licensee operates.

Licensee Type

Type of licensee: PFNA (Proprietary Fleetcard Network Associate) or RMP (Regional Marketer Processor).

Customer Search By

This window can be used to conduct the following searches, without specifying a licensee first:

Saves changes made. You will be asked to confirm the changes.

Exit ([Alt]+X)

Exits the application.

 

Searching for Customers without Specifying a Licensee

Generally, customer records are retrieved by first retrieving a Licensee, selecting Customer -> Find, and searching for the customer on the Customer screen.

However, if you have access to more than one Licensee, you may find it faster to search for a customer in the following way:

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

2.       In the “Customer Search By’ list, select one of the following, depending on the piece of data that you have: Card Group, Volume Group, Bill Group, Customer ID, or Customer Name:

3.       In the list window that appears, type the Group ID, Customer ID, or Customer Name.

Partial values may be entered using % as a wildcard (%Oil or 674%, for example). However, a search using partial values will take longer than a search using the complete ID or Name.

4.       Press the  button to retrieve the corresponding Customer record or records.

Note: User permissions control which values are returned. For example, a Licensee-level user with access to only one Licensee can only view customer records pertaining to that Licensee.

5.       If more than one customer record appears, select the desired customer.

6.       Press the  button to navigate to the Customer screen (populated with that Customer’s information).

You can cancel the search by clicking the  button (or pressing [Alt]+C) any time before pressing OK.

 

Searching for Cards without Specifying a Licensee

Generally, card records are retrieved by first retrieving a Licensee, and then accessing the Card screen either directly or via the Customer screen.

However, if you have access to more than one Licensee, you may find it faster to search for a card in the following way:

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

2.       In the “Customer Search By’ list, select Card Number:

3.       In the list window that appears, type the card number.

Partial values may be entered using % as a wildcard (%67416, for example). However, a search using partial values will take considerably longer than a search using the complete card number.

4.       Press the  button to retrieve the corresponding Card record or records.

Note: User permissions control which values are returned. For example, a Licensee-level user with access to only one Licensee can only view card records pertaining to that Licensee. 

5.       If more than one card record appears, select the desired card.

6.       Press the  button to navigate to the Card screen (populated with that Card’s information).

Licensee Detail

This tab provides more information about the selected licensee:

To view another licensee, click the  or  button (or press [Alt]+P or [Alt]+N, respectively). (See the Getting Started chapter for help).

The tab’s data fields are as follows:

DATA FIELD

DESCRIPTION

Licensee ID

Licensee number as assigned by Fuelman Card Services.

Licensee Name

Name under which the licensee operates.

Licensee Type

Type of licensee: PFNA (Proprietary Fleetcard Network Associate) or RMP (Regional Marketer Processor).

AR Platform*

System on which the licensee’s Accounts Receiveable program runs (EXTERNAL, FLEETNET, GP).

 

This value must be GP in order for this Licensee’s customers to use the CheckFree application.

 

This value must be GP in order for checks by phone to be entered for this Licensee’s customers. (See Check By Phone.)

Legacy Licensee ID

Licensee’s Legacy System ID number.

Platform*

System the licensee operates (CFN, Closed, FleetPro, Legacy, Tandem).

Billing Platform*

System on which the licensee’s customers are billed (AS400, FLEETNET).

Product Authorization

Which of the licensee’s card products are authorized by the FleetNet authorizer (ALL, ISO, or NONE).

Status*

Licensee’s status (A=Active, I=Inactive, P=Pending, R=Renewed).

Interest Frequency*

Basis on which interest is calculated for the licensee’s customers (DAILY, MONTHLY, NONE).

Start Date

Date that the licensee started processing (MM/DD/YYYY).

Direct Market Flag

A check indicates that the licensee is a direct market.

Print Customer Specific Receipt Flag

A check indicates that that receipts should be printed with customer-specific information (the customer name, perhaps).

Policy Class ID*

Type of network settlement to be used for the licensee’s transactions (1=Fuelman Network Settlement, 2=External Network, 3=CFN Network Settlement).

Report Family

Set of reports used for this licensee and its customers (BP, CITGO, FLEETNET).

Licensee Group

Licensee group (BP, CG, FM). This field is populated based on the Report Family, above.

Bold = Mandatory field

Lock Code*

Status of the licensee’s account (E=Expired, M=Manually Locked, N=Notify Franchisee, O=Over Credit Limit, P=Past Due, R=Restricted, S=System Locked, U=Unlocked).

Lock Reason*

Reason that the licensee was locked. A reason must be given if a lock code is entered.

Receiving Board Price Reference

Price that customers of other licensees will pay at this licensee’s sites. (R = customer pays the retail price; A = customer pays the board price).

Lock Date

Date on which the licensee was locked (populated).

Receiving Board Price Amount

If the Receiving Board Price Reference is 'A', this is an adjustment to the board price. This field is not used if the Receiving Board Price Reference is 'R'.

Information

Miscellaneous information about the licensee.

Created By

User Name that added the licensee (populated).

Create Date

Date on which the licensee was added (populated).

Updated By

User Name that last updated the licensee (populated).

Updated Date

Date on which the licensee was updated (populated).

Adding a Licensee

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

2.       Click the  button (or press [Alt]+A).

3.       Licensee ID – Enter a number that will identify the licensee within the network (mandatory).

4.       Licensee Name – Enter a name for the licensee within the network (mandatory).

5.       Licensee Type – Select the Licensee Type (PFNA or RMP). (See the Getting Started chapter if you need help with list windows.)

6.       AR Platform – Select the system on which the licensee’s Accounts Receiveable program runs (EXTERNAL, FLEETNET, GP).

7.       Legacy Licensee ID – If the licensee operates a Legacy system, enter the Legacy ID number (System ID number) that is used to identify them within the network.

8.       Platform – Select the platform that the licensee operates (CFN, FLEETPRO). This is a mandatory field.

9.       Billing Platform – Select the platform on which billing takes place for the licensee (AS400, FLEETNET). This is a mandatory field.

10.   Product Authorization – Select which of the licensee’s Fuelman Card Services products that are authorized by the FleetNet authorizer (ALL, ISO, or NONE).

11.   Status – Select the licensee’s status (A=Active, I=Inactive, P=Pending, R=Renewed).

12.   Interest Frequency – Select the basis on which interest is calculated for the licensee’s customers (DAILY, MONTHLY, NONE). This is a mandatory field.

13.   Start Date – Enter the date on which the licensee began processing.

14.   Direct Market Flag – Check the box if the licensee is a direct market (owned by FleetCor Technologies). This is a mandatory field.

15.   Print Customer Specific Receipt Flag – Check the box if receipts should be printed with customer-specific information (the customer name, perhaps). This is a mandatory field.

16.   Policy Class ID – Select the type of network settlement to be used for this licensee’s transactions (1=Fuelman Network Settlement, 2=External Network, 3=CFN Network Settlement).

17.   Report Family – Select a code for the set of reports used for this licensee and its customers receive (BP, CITGO, FLEETNET). This populates the Licensee Group field.

18.   Country – Select the Country in which the site is located (UNITED STATES, CANADA, MEXICO).

19.   Street – Enter the licensee’s street address (mandatory). Use the second address line for suite number or company name.

20.   City – Enter the city in which the licensee resides (mandatory). If you need help entering the City information for a UNITED STATES licensee, click the  button next to the Zip field (step 22, below).

Note: The  button is currently inactive for CANADA and MEXICO licensees.

21.   State – Enter the 2-letter abbreviation of the state in which the licensee resides (mandatory). If you need help entering the State information for a UNITED STATES licensee, click the  button next to the Zip field (step 22, below).

Note: The  button is currently inactive for CANADA and MEXICO licensees.

22.   Zip – Enter the licensee’s ZIP code (mandatory) and 4-digit locater code, if known.

If you are not sure of the UNITED STATES licensee’s Zip Code, State, City, or County, click the  button. (The  button is currently inactive for CANADA and MEXICO licensees.)

The Find Address Values window appears:

a.       Enter the information that you do know into the Abbr, State, City, or County columns. You may enter partial values (for example, New Or%, for New Orleans).

b.       Click the  button (or press [Alt]+F).

·         If the information you were seeking is returned, click the desired row. Then click the  button to populate this information on the Licensee Detail tab. The Find Address Values window will close.

·         If you do not see what you expected, click the  button to try a new search. Or, click the  button to return to the Licensee Detail tab. The Zip, State, and City fields will be blank, and you can try reentering the licensee’s information.

23.   County – Enter the name of the county in which the licensee resides. If you need help entering the County information for a UNITED STATES licensee, click the  button next to the Zip field (step 22, above).

Note: The  button is currently inactive for CANADA and MEXICO licensees.

24.   Email – Enter the Contact’s email address.

25.   Contact – Enter the name of the licensee’s primary contact.

26.   Phone – Enter the licensee’s phone number in the form (111) 222-3333. This field is mandatory.

27.   Fax – Enter the licensee’s fax number in the form (111) 222-3333.

28.   Receiving Board Price Reference – Enter a symbol for the price that customers of other licensees will pay at this licensee’s sites (R = customer pays the retail price; A = customers pay the board price).

29.   Receiving Board Price Amount – If the Receiving Board Price Reference is 'A', enter the adjustment to the board price (for example .05 or -.05).

30.   Information – Enter any information about the licensee that authorized users at the Corporate and Licensee levels should be made aware of.

31.   Click the  button (or press [Alt]+S). You will be asked to confirm. To add the new licensee record, click the  button (or press [Alt]+O). The Lock Code defaults to U (Unlocked).

You can cancel the changes by clicking the  button (or pressing [Alt]+C) any time before pressing OK.

 

Updating a Licensee

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

3.       Click the  button (or press [Alt]+U).

4.       The Licensee ID, Created By, Create Date, Updated By, and Update Date cannot be edited.

5.       Licensee Name – Optionally, change the name of the licensee.

6.       Licensee Type – Optionally, change the Licensee Type.

7.       AR Platform – Optionally, change the system on which the licensee’s Accounts Receiveable program runs.

8.       Legacy Licensee ID – Optionally, change the licensee’s Legacy ID number.

9.       Platform – Optionally, change the platform that the licensee operates.

10.   Billing Platform – Optionally, change the platform on which this licensee’s billing takes place

Address

FleetNet accommodates three different addresses for each licensee: the default (shown on the Licensee Detail tab), an invoice address (optional), and a remittance address (optional).

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

3.       Select the Address tab.

4.       Click the  button (or press [Alt]+U).

5.       Update the Bill Address, the Remit Address, or both.

Note: If the addresses are the same, you must make the change in both sections.

6.       Country – Optionally, change the licensee’s country.

7.       Street – Optionally, change the licensee’s street address. Use the second address line for suite number or company name.

8.       City – Optionally, change the city in which the licensee resides. If you need help entering the City information for a UNITED STATES licensee, click the  button next to the Zip field (step 10, below).

Note: The  button is currently inactive for CANADA and MEXICO licensees.

9.       State – Optionally, change the state in which the licensee resides. If you need help entering the State information for a UNITED STATES licensee, click the  button next to the Zip field (step 10, below).

10.   Zip – Optionally, change the licensee’s ZIP code.

This tab allows authorized users to request pre-embossed cards for a licensee (or division within a licensee’s business):

AS/400 ID of the licensee division for which these cards will be requested (populated based on Division Name).

Name of the licensee division for which these cards will be requested.

DESCRIPTION

Type of Card*

Type of card to request. Your choices differ, depending on which card types are used by the Licensee.

ISO*

ISO number to print on the cards.

Vendor*

Who will print the card (EXTERNAL). EXTERNAL indicates that an export file will be created that can be sent to the outside vendor who will create the card.

Expiration Date

The expiration date of the pre-embossed cards. Because the cards are intended to be available for the long-term, the default expiration date is “Never Expire”. This can be changed if desired. (Use a date format of YYYYMM.)

Number of Cards

Number of pre-embossed cards to request.

Bold = Mandatory field

Requesting Pre-Embossed Cards

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

2.       Find and retrieve the licensee you wish to work with.

3.       Select the Pre-Embossed Cards tab.

4.       Division Name – If the cards are requested for a specific licensee division, select the name of the division.

5.       Type of Card – Select the type of card to request (Fuelman Plus, Gascard, Gascard Orig., or Sinclair). This field is mandatory.

6.       ISO – Indicate which ISO number to print on this batch of cards. This field is mandatory.

7.       Vendor – Indicate who will print the card (EXTERNAL). This field is mandatory.

8.       Expiration Date – Enter the expiration date of the pre-embossed cards (mandatory). If you wish to accept the default (“Never Expire”), tab to the next field.

9.       Number of Cards – Enter the number of pre-embossed cards to request (mandatory). The minimum number is 500. The maximum number depends on the MAX_NUMBER_PRE_EMBOSSED_CARDS licensee option value of the DFTVALUE option class. (See Adding a Default Values Licensee Option in the Licensee Option Values chapter.)

10.   Click the  button (or press [Alt]+S). You will be asked to confirm. To accept the changes, click the  button (or press [Alt]+O).

You can cancel the changes by clicking the  button (or pressing [Alt]+C) any time before clicking the Process button.

Note: At this point you can do either of the following:

·         To assign a block of cards to a customer, proceed to the Pre-Embossed Cards tab of the Customer screen (see Assigning Pre-Embossed Cards to a Customer in the Customer chapter). At a later point, you can then assign each card to a specific vehicle.

·         To begin assigning individual cards to a vehicle without first assigning the card to a customer, proceed to the Vehicle screen.

Fulfillment

This tab allows authorized users to specify which report formats are to be used for this Licensee:

Check this box if this Licensee’s merchant and customer data should be included in the data files sent to the fulfillment vendor.

Check to Use Fulfillment for Customers

This field is not in use at this time.

Setting Licensee Fulfillment Options

1.       Access the Licensee screen by selecting Licensee -> Find from the drop-down menu:

2.       Find and retrieve the licensee you wish to work with.

3.       Select the Fulfillment tab.

4.       Fulfillment Type – Select the report template that should be used for this Licensee (DIRECT, LICENSEE, PRIVLABEL).

5.       Network Type – Select the network type (ARCO, BP, CFN, CITGO, FUELMAN, GCP, PANTRY, SINCLAIR). This field influences what report rules and logo are used.

6.       Check to Use Fulfillment for Merchants – Check this box if this Licensee’s merchant and customer data should be included in the data files sent to the fulfillment vendor. Then click the  button (or press [Alt]+M). The Merchant Options window appears:

a)       Special Email Template – Select the email template to be used when sending information to merchants (FUELMAN, PRIVLABEL).

b)       The Merchant Customer Service Phone Number, Authorization Department Phone Number, Merchant Customer Service Email, and Special Merchant Text Message fiels are not currently in use.

c)       Special Logo – Select the logo to be used on reports (ARCO, BP. CITGO, FUELMAN, GASCARD, HAYCOCK, LEFFLER, MCPHERSON, MILLER, NORDX, PETRO, RAPID).

d)       Click the  button (or press [Alt]+B) to return to the Fulfillment tab.

7.       Click the  button (or press [Alt]+S). You will be asked to confirm. To accept the changes, click the  button (or press [Alt]+O).
